Event Communications statement: St. Jude will send conference specific emails to the registrant including confirmation emails, event reminders and additional event operational communication.

External Photo Release All External Media or Entities wishing Capture Still or Motion Media of Visitors or St. Jude Workforce Members on the St. Jude Children’s Research Hospital (“St. Jude”) Campus must obtain authorization from Strategic Communication, Education & Outreach Department (“SCEO”) and/or the St. Jude Liaison Office (“SJLO”).

External Media or Entities may only capture Still or Motion Media in areas pre-approved by SJLO and/or SCEO, and with Visitors and/or Workforce Members pre-approved by SJLO and/or SCEO.

I grant St. Jude and the American Lebanese Syrian Associated Charities (ALSAC), the exclusive fund-raising organization of St. Jude, the irrevocable and perpetual permission to take, use, alter, digitally composite, and publish my name, likeness, image, voice, and/or appearance as such may be embodied in any media, now known orlater developed, including the Internet and social media, taken or made on behalf of all St. Jude activities. I agree that St. Jude will have complete ownership of such pictures, including the entire copyright, and may use them for any purpose consistent with the St. Jude mission. I acknowledge that I will not receive any compensation and I hereby waive any right that I may have to inspect or approve the finished product or products and the advertising copy or other matter that may be used in connection with them or the use to which they may be applied.

I hereby release St. Jude and ALSAC from any and all claims which arise out of or are in any way connected with such use, and I hereby release, and agree to hold harmless St. Jude and ALSAC and its agents and assigns from any liability by virtue of any blurring, distortion, alteration, optical illusion, or use in composite form, that may occur or be produced in the taking of such media or in any subsequent processing of them, as well as any publication of them, including without limitation any claims for libel or violation of any right of publicity or privacy. I hereby warrant that I am of full age and have the right to contract in my own name. I have read the above authorization, release, and agreement, prior to its execution, and I am fully familiar with the contents of this document. This release and consent shall be binding upon me and my heirs, legal representatives, and assigns.

Recording and Intellectual Property Policy

1. Prohibition on Recording and Distribution To protect the intellectual property of presenters, St. Jude, and event participants, attendees are not permitted to photograph, audio record, video record, livestream, screenshot, reproduce, or distribute presentations, posters, abstracts, or other event materials (“Event Materials”) without prior written permission from St. Jude and, where applicable, the copyright owner.
2. Permitted Use of Event Materials Event materials include, but are not limited to, presentation content, posters, handouts, recordings, graphics, and other educational resources. St. Jude provides Event Materials solely for registered attendees’ personal, non-commercial, educational use. . Attendees must not copy, publish, share, or commercially use  Event Materials  without  prior written permission from St. Jude and, where applicable, the copyright owner.
3. Consent to be Recorded By attending, attendees grant St. Jude the irrevocable right to record and use their name, image, voice, and likeness from any official event recordings across all media for educational, promotional, or other lawful purposes without compensation or approval. Official recordings remain St. Jude’s or its  licensors’ exclusive property and must not be reproduced or redistributed without prior written permission.
4. Compliance with Laws Attendees must comply with all applicable copyright, trademark, confidentiality, and intellectual property laws and any additional restrictions communicated by presenters or event organizers.

Duty of Care Statement St. Jude Children's Research Hospital is committed to providing a safe, respectful, and welcoming environment for all event participants. By participating in this event, attendees acknowledge their shared responsibility to contribute to a safe environment by exercising reasonable care, complying with applicable laws and St. Jude policies, following instructions provided by event staff or security personnel, wearing appropriate identification during the event or while on the St. Jude campus, and conducting themselves in a manner that supports the safety and well-being of others.

Attendees are responsible for their own personal belongings, travel arrangements, and individual health needs. Participants should promptly report any safety, security, medical, or emergency concerns to event staff or campus security.

Participation in the event constitutes acknowledgement of these responsibilities and agreement to cooperate with reasonable measures intended to protect the event community.

Event Code of Conduct St. Jude Children’s Research Hospital is dedicated to providing a professional, friendly, safe, and welcoming experience for all of our participants. Participants agree that they will adhere to these Event Terms, the St. Jude rules, regulations, policies and procedures, and standards of conduct, including ethical and professional standards and including SJ’s Vendor Code of Conduct, available at www.stjude.org/vend and agrees to conduct themselves in a professional manner. St. Jude shall have the right to remove from the St. Jude campus anyone who, in St. Jude’s sole opinion, fails to follow any rules or requirements in St. Jude’s policies, procedures, and Code of Conduct, or fails to comply with federal, state, or local laws, or fails to perform or conduct themselves in a professional or appropriate manner. St. Jude also may take immediate action to, and including but not limited to, immediately remove or suspend campus access to anyone that St. Jude believes poses an actual or potential threat to anyone on the St. Jude campus or any St. Jude owned or rented property, or to any St. Jude patient, dismiss participants from an event or meeting without warning and without refund. Such dismissal and removal will include revoked access to Event Materials and prohibition from attending future St. Jude events.

Reporting an incident: If you see, overhear or experience a violation of the Code of Conduct during an event or unprofessional or threatening behavior and would like to report a violation, please email us at conferences@stjude.org. In the event of an emergency, please call St. Jude Security (at 901-595-4444, or #4444 from an on-campus phone) or 911.

Infection Control Compliance The health, safety, and security of all attendees are priorities of St. Jude Children's Research Hospital. By participating in this event, attendees agree to comply with all applicable St. Jude policies, campus security procedures, health and safety requirements, and instructions provided by event staff, security personnel, or authorized representatives. As a condition of entry to the St. Jude campus and/or participation in any St. Jude event, all participants must comply with the infection control measures that are in place at the time of their visit or event.

St. Jude patients may have compromised or reduced immunity. Participant agrees that they shall not come on the St. Jude campus while experiencing any of the following symptoms: fever, chills, cough, shortness of breath, body aches, loss of smell or taste, rash, pink eye, or stomach flu.

Campus Access St Jude Children’s Research Hospital is a closed campus. In an effort to protect our patients, all visitors must be pre-registered with Security through St. Jude’s  visitor management system,  at least 24 hours in advance of entry by a St. Jude host (end user). Security will do a background check via their security system for all visitors to campus. No visitors are permitted to enter the St Jude campus without proof of registration from Security.

By registering for this conference/symposium, you are consenting to your data being entered into St. Jude’s vendor management system and St. Jude conducting background check prior to you  entering St. Jude campus.

Liability Release On my own behalf, I release and forever discharge St. Jude Children's Research Hospital, Inc. (St. Jude) and the American Lebanese Syrian Associated Charities (ALSAC), and their Boards of Governors, officers, employees, agents and assigns, from any and all liability of any nature whatsoever arising out of or related to my taking part in this event. My voluntary participation in this event removes all liability from St. Jude and ALSAC. I agree to take full responsibility and assume all risks incidental to or arising from my taking part in this event.
